Automatically match your supplier invoices to your Qonto transactions directly from Dropbox.

How does the integration work?

  • Match your supplier invoices, in one click: connect your business account to Dropbox so that in just one click you can centralize all your supplier invoices on Qonto. Your supplier invoices are automatically linked to the right transaction.

  • Keep an eye on supplier invoices to be paid: hard to keep track of your unpaid supplier invoices? View pending invoices in a flash. Prepare for upcoming deadlines and schedule your payments - no more last-minute surprises.

  • Let your accountant take it from there: Once paid, your supplier invoices are matched with the right transactions. Everything’s ready for your accountant to review.

Who can use the integration?

All account holders and administrators can set up this integration with Dropbox. All you need is a Qonto and Dropbox account.

How to set up the integration?

From the Qonto web-app, go to the Connect section and click on Dropbox → Qonto. Simply click Connect in the top right of the page and follow these simple steps:

  • Select the Dropbox account you use to store your supplier invoices.

  • Once logged in, authorize Qonto to sync your data in Dropbox by clicking on Continue.

  • Click on Finish ... and voilà. 🎉

Your integration is now ready! A Qonto Import folder will automatically be created in the root of your storage space.

💡 You can connect several Qonto accounts to the same Dropbox account.

How to use the folder created in my Cloud Storage solution?

The created folder will be subdivided into four sub-folders:

  • A Dropzone folder into which you can drag and drop new receipts for your expenses.

  • A Processing folder to which receipts are stored, awaiting to be matched to a Qonto transaction.

  • A Matched folder where you will find receipts matched with a Qonto transaction.

  • An Unsupported folder into which files larger than 15MB are placed, as well as files not in a JPEG, PNG, and PDF format.

💡 Every three hours, files in the Dropzone and Processing folders will be synchronized with your Qonto transactions.

How can I manage my invoices in Qonto ?

Click on the Bookkeeping section of your Qonto web interface, then click on the Supplier Invoices tab to retrieve all your invoices imported from Dropbox.

  • Your receipts and supplier invoices already paid are accessible from the Paid tab and automatically matched with the right transaction in your History section.

  • Supplier invoices which require a manual action from you are accessible in the To review tab. They can be manually matched with the right transaction or paid directly with Qonto.

💡 A payment due today? Think about instant transfers! To learn more about the Supplier Invoices tab, consult this dedicated article.

Which files can be processed by the integration?

For your supplier invoices to be matched with the right Qonto transactions: place them in the Dropzone folder. Your files must fit the following size and format criteria:

  • The size needs to be less than 15MB.

  • The format needs to be either JPEG, PNG, or PDF.

Only those receipts or invoices corresponding to purchases will be processed. Invoices issued by you will never be paired with a transaction and will remain stored in the Processing folder.

💡 It’s not possible to match serval supplier invoices to a single transaction using the Dropbox → Qonto integration. If serval supplier invoices are uploaded for the same transaction, only one will be matched. Any additional attachments will remain stored in the Processing folder.

Several supplier invoices can be included in the same file, as long as the size of the file is below 15MB.

What happens if I delete a file or folder in my drive?

If you delete a file in one of the folders created by the integration, or one of the folders, the integration won’t be able to work properly. You will need to uninstall and reinstall the integration to keep on using it. To uninstall the integration, simply click Connected in the top right of the Connect Dropbox page in the web application and follow these simple steps:

  • Click on Disconnect Dropbox → Qonto

  • Click again on Disconnect Dropbox → Qonto

💡 This action won’t affect supplier invoices already matched with your Qonto transactions.

Can I move the folders created by the integration in my Cloud Storage solution?

All folders created by the integration can be moved wherever you want within your Cloud Storage solution.
